The SDR (Waste Documentation System) is a fundamental tool for the efficient and legal management of used industrial oil in Catalonia. For companies that generate this type of waste, knowing how the system works is essential for its proper management and to ensure regulatory compliance, traceability and safe management.
We are going to explain the key steps you need to follow to start operating correctly in the RDS if you are a new used oil producer.
What is RDS?
The SDR (Sistema Documental de Residuos) is the digital platform of the Agència de Residus de Catalunya (ARC) that allows to register, control and document electronically the management of waste, such as used industrial oil. It is mandatory to register in this platform all those companies that generate waste, among which is included the usual used oil in sectors such as automotive, industry and machinery.
The use of the RDS makes it possible to carry out the entire documentary process required by environmental regulations environmental regulations: From the registration as a producer, previous notifications of transfer (NP) and tracking sheets (FS).

Steps to follow for a new producer of used industrial oil
Producer Code
The first thing to do is to request the Waste Producer Code through the SDR. When requesting the Producer Code, we must take into account that used oil is a hazardous waste, so we will activate the “Hazardous Waste” option. This code is mandatory in order to manage the waste.
The code is associated with the NIF, name and exact address of the center where the waste (used oil) is generated. It also includes the CNAE (economic activity) and the UTM coordinates of the site.
This procedure can be carried out directly by the producer himself free of charge through the RDS portal. However, at Cator we can also help you to process it, although this service is not free of charge due to the technical time it requires.
Once the registration is completed, you will receive a username and password to access the SDR and continue with the processing of the necessary documentation.
Formalization of documentation
With the Active Producer Code, all documentation must be formalized prior to the collection of used oil. This includes:
– Prior Notification of Transfer (NP): Mandatory document that informs the administration of the transfer of used industrial oil and is valid for 3 years.
– Treatment contract: Legal agreement between the Producer and Cator (as authorized manager) where the conditions of acceptance, management methods and waste to be removed are specified. Valid until regulatory changes.
– Collection conditions: Information on estimated quantities to be collected, acceptance conditions, penalties in case of refusal, price at which the used oil is paid and the logistics of collection.
At Cator, we generate this documentation free of charge to ensure that the entire process is correctly recorded in the system.
Service scheduling
Once the documents have been formalized and the Prior Notification of Transfer has been registered by the Waste Agency, the collection is scheduled.
The traceability of the used oil is guaranteed by the completion of the tracking sheet (FS) by CATOR. This document records the actual quantity removed and is signed by the final manager when the tank is unloaded at our facilities. This document (FS) is an essential part of the documentary system and is the guarantee of the correct collection of the used oil.
Proforma and closure of the service
Upon delivery of the used industrial oil to our facilities and once the sample collected during loading has been analyzed, a proforma is issued indicating the amount to be invoiced to Cator, since used oil is a recoverable waste.
Unlike other waste, its treatment allows us to recover a useful resource – the regenerated base oil – for which we pay compensation to the producer for its delivery, provided that the established quality and volume criteria are met.
In summary, the RDS is an essential tool for complying with current regulations on the management of used industrial oil. Its correct use allows exhaustive control, guarantees traceability and avoids possible penalties.
At Cator, we are specialists in the regeneration of used industrial oils, and we accompany our customers throughout the entire documentary process through the SDR. Do not hesitate to contact us if you need any help with your documentation. With us you are guaranteed to have all your documentation correct.
